What are the keys to meaningful standup updates?

A standup is an opportunity for the team to catch up every day so everyone can get a clearer view of the bigger picture and practice communicating together. And they’re a great way to spot potential work item conflicts before they happen. They’re not meant to be a competition to see who did the most nor should they be treated as project status meetings for the benefit of project managers.

For those reasons it’s usually best to stick to things that might impact your teammates so they will want to read your updates. If you include all the little minutiae of your day (e.g. you had a 1-on-1 with your manager, you installed some system updates, you went for a walk to think), people will get bored and tune out. But if you don’t provide enough context, your updates won’t actually be useful to anyone. Try to provide answers that are one or two sentences for each thing you did or plan to do and, if it’s not immediately obvious why, include a bit of explanation. Don’t write a novel, but do give them enough to get a rough idea of what’s going on outside their own narrow focus. Also remember that your update doesn’t have to be all business; it’s okay to inject a bit of levity into your update.

Do I have to pay to use it?

No! Users on our Basic plan have access to all of Standup for Me’s capabilities for free and without a time limit. If you’d like to have more than one standup team, more than ten members in a standup team, more than one activity integration per user or the ability to manage standup admin role assignments, you’ll have to upgrade to a paid plan. See Pricing for more info.

How is billing handled?

With Standup for Me you pay as you go. The app automatically counts the number of users in your Slack workspace that are in a standup team and then, at the end of each billing month, our payment processor charges your card on file for that number of users. If a user happens to be on two or more standup teams, they will only be counted once for billing purposes. Furthermore, you only pay for users that have completed at least one standup session. There is no upfront provisioning of licenses/seats; you pay only for what you use.

Payment processing is handled by Stripe. All major credit cards are accepted. Only the user that started a subscription and users with the standup admin role (which includes the owner and admin users of your Slack workspace and the user that installed Standup for Me) can update payment information or cancel a subscription.

See the Pricing page for more info.

What is a standup summary?

When you create a standup team, you specify the time of day and days of the week for Standup for Me to generate a standup summary. At that time, the bot posts the answers from every team member that has finished their standup session in time for the standup summary, along with some basic metrics. It also notes any team members that are absent because they scheduled time off for that day.

To change a standup team’s standup summary settings go to Standup for Me’s app home tab and open the Team Settings dialog. From there, you can pick the days of the week and time of day that standup summaries are generated for the team. By default each team member will receive a notification 15 minutes before standup summaries. To disable standup summaries, simply uncheck all days of the week and then click Save.

What is an activity integration?

Sometimes it can be tough to remember what you did yesterday or what you’ve got planned for today! Standup for Me provides integrations with various services to remind you of what you’ve done and what is still to be done as you write your standup answers. When you add an activity integration, you will see an overview of your interactions with that service whenever Standup for Me asks you a Recent Activity or Upcoming Activity question during each standup session.

To add an activity integration, go to Standup for Me’s app home tab and open Your Integrations. From there you’ll see a list of which integrations are available and which ones you’ve already added. Clicking Add next to any integration will open an authorization page in a new browser tab/window where you will be directed to the service to either approve or deny the integration.

How do I change my team’s standup questions?

When a standup team is first created, it is initialized with the default list of standup questions: “What did you do?”, “What do you plan to do?” and “What challenges have affected your progress?” You can edit your standup team’s list of standup questions only after the team has been created.

Assuming you are already a member of a standup team, go to Standup for Me’s app home tab in Slack, open the Team Settings dialog, scroll to the bottom of the dialog and click Customize Standup Questions. Each question has a Type that affects what context is provided during a standup session; it’s usually a good idea to include one each of Recent Activity, Upcoming Activity and Blockers questions along with any custom questions you might want. Scroll to the bottom of the list and you will find a button to restore the list of questions to the default list. Changes are applied only after you click the Save button.

Can I control who is allowed to modify a team’s settings?

Every member of a standup team can view and modify that team’s settings. Furthermore, all of the owner and admin users of your Slack workspace and the user who installed Standup for Me are automatically assigned to the standup admin role, meaning that they can view and modify every standup team’s settings, among other things. With an active Standup for Me subscription the standup admin role can also be assigned to regular users of your Slack workspace. To ensure accountability, whenever someone modifies a standup team setting, the app will provide a summary of the changes and who made them to the team’s standup channel for all to see.

How do I customize my standup notification time and days of the week?

Go to Standup for Me’s app home tab in Slack, open Your Standup Settings and then select Enabled under Custom Notification Settings. The dialog’s contents will automatically be refreshed and you’ll see the options to specify a time of day and the days of the week for you alone to get standup notifications. Click Save to submit changes.

Can I disable notifications when I’m on vacation or out sick?

You can! To prevent Standup for Me from sending you direct messages or @-mentioning you while you expect to be away, you can schedule time off. From Standup for Me’s app home tab in Slack, open Your Standup Settings and select the first and last days of your time off, then click Save. We won’t bother you until your time off has ended or you clear the Start of Time Off and End of Time Off date fields.

Can I pause standups for my whole team on holidays or other events?

Yep! You’ll have to schedule it ahead of time, but during a team-wide standup break, Standup for Me won’t start new standup sessions for any members of the team or generate team standup summaries. From Standup for Me’s app home tab in Slack, open the Team Settings dialog and select the first and last days of the standup break, then click Save. We won’t bother the team until the standup break has ended or a member of the team clears the Start of Team-wide Standup Break and End of Team-wide Standup Break date fields.

Can I edit my standup answers after I send them?

It depends on your Slack workspace’s settings! Your Slack workspace admin might have set a time limit for editing messages, editing might be completely disabled or there might be no restrictions at all. But, if your Slack workspace allows it and you do edit a standup answer message after it’s sent, Standup for Me will automatically and retroactively incorporate any changes you make into the corresponding standup announcements in the team’s standup channel.

How do you accommodate teams across multiple time zones?

Standup for Me automatically converts dates and times in settings and in the messages it posts so that they are displayed in each user’s local time zone. That includes standup notification and standup summary days/times. Just make sure your Slack app is set to the right time zone and we’ll take care of the rest.

Who can create and remove standup teams?

All of the owner and admin users of your Slack workspace and the user who installed Standup for Me are automatically assigned to the standup admin role, meaning that they can create new teams and also edit and remove existing teams, among other things. With an active Standup for Me subscription the standup admin role can also be assigned to regular users of your Slack workspace. However, if your Slack workspace doesn’t have any standup teams yet, then any user in the Slack workspace is allowed to create the first standup team.

Can standup summaries be posted in a thread?

By default, Standup for Me posts the answers that a team member provided for a scheduled standup as its own top-level message in the team’s Slack channel. This is the recommended behaviour so that one can reply directly to a team member’s answers in a dedicated thread. However, if you’d prefer to have a single thread for each standup summary, go to Standup for Me’s app home tab in Slack, open the Team Settings dialog, scroll down the dialog and then select Enabled under Standup Summary Threads. Click Save to submit changes. Note that you can only enable or disable threads for a standup team after the team has already been created.

How do I turn off those inane icebreaker questions?

By default, Standup for Me asks everyone on your team a random icebreaker question to start a scheduled standup session. It makes standups a little less repetitive and it can be a fun way to bond with the team.

However, if you don’t personally feel like answering icebreaker questions anymore, go to Standup for Me’s app home tab in Slack, open Your Standup Settings and then deselect Enabled under Icebreaker Questions. Click Save to submit changes.

If you’d like to disable icebreaker questions for everyone on the team, go to Standup for Me’s app home tab in Slack, open the Team Settings dialog, scroll to the bottom of the dialog and then deselect Enabled under Icebreaker Questions. Click Save to submit changes. Note that you can only enable or disable icebreaker questions for a standup team after the team has already been created.

Can I use a private channel for my standup team?

Yes! But you’ll have to manually add the Standup for Me bot to the private channel so it can post standup summaries there. Keep in mind that, once Standup for Me joins the private channel, the bot will automatically attempt to add all new and existing members of the standup team to the channel as well.

Can I add a user from an external Slack workspace to a standup team?

To add someone to a standup team, they must be a user in your Slack workspace. If you’d like to invite someone from an external Slack workspace to your standup team, consider adding them to your Slack workspace as a guest user first.
